Payment terms

A deposit of 20% of the total order amount will be required once your registration is accepted to confirm your order. Payment net upon receipt of the invoice. The remaining balance is required to be paid 3 weeks prior to the event date.

Terms & Conditions

Application, registration and order confirmation: After receipt and approval of an applicant’s completed order form, the applicant is registered as an exhibitor at an exhibition organised by Expat Expo. By completing the order form, the applicant declares himself familiar with the objective of the exhibition, and agrees to exhibit only those products and/or services which come within the scope of the exhibition. Expat Expo’s acceptance of an application represents a binding agreement for the stand space and fees that are specified in the order confirmation from Expat Expo.
Eligible exhibits: Exhibits will be limited to companies or products approved by Expat Expo. An approved company may exhibit products, equipment and services. All products, equipment and services must comply with Swiss law and health and safety regulations. It is the responsibility of the exhibiting company to comply with all of the above rules and regulations. Expat Expo reserves the right to refuse stand rental or terminate a contract at any time, if the company does not comply with the regulations. Expat Expo reserves the right to decline or withdraw your order request based on, but not limited to, failure of payment, stand availability, category of company, at its sole discretion.
Stand allocation and costs: Expat Expo reserves the right to allocate stand space to exhibitors. The wishes of the exhibitor are taken into account as far as possible, within the scope of your chosen stand type and company category. Expat Expo reserves the right to modify your stand location as befits the best running of the event, for the benefit of all. The final decision on the definition of your company type for the purpose of the stand and sponsorship pricing lies with Expat Expo.
Conditions of payment: Payment is to be made in accordance with the conditions of payment on the exhibitor order form. The invoice will be issued by Expat Expo and credit card payment details will be provided on the order acceptance email.
Event modifications and cancellations: Cancellations by Expat Expo: Expat Expo is authorised to cancel the event due to unforeseeable occurrences, omissions or accidents (e.g. official measures, industrial disputes, force majeure etc.) and to retain only such part of the exhibitor’s stand costs as shall be required to compensate the exhibitor for reasonable expenses incurred up to the time of such cancellation. All remaining fees shall be refunded. In the event of cancellation by Expat Expo or the organisers, no exhibitor’s expenses shall be reimbursed by Expat Expo. Cancellations by Exhibitors/Sponsors: The exhibitor may cancel their stand reservations at any time by written notice to Expat Expo. Expat Expo will refund payments based on the criteria listed below:
- Cancellation more than 45 days prior to event start date: 100 % refund
- Cancellation between 45 and 30 days prior to event start date: 50 % refund
- Cancellation less than 30 days prior to event start date: No refund
Expat Expo retains the right to resell any stand and/or sponsorship cancelled by the exhibitor.
Stand space and activities: All stands must be set up and ready at least 30 minutes prior to opening of the event. Exhibitors are obliged to ensure that the space rented to them is kept clean. The exhibitor is obliged to observe the schedules set out in the Exhibitors Manual for the setup and dismantling of the stand. The space allocated to the exhibitor may not be exceeded in either width or any other dimensions. The exhibitor shall not be authorised to share, sublet or assign the stand to any other company or to entrust it to other parties in any other way. The exhibitor shall only be allowed to display and distribute advertising material and to address visitors within his own stand space. Activities at, and operations of, the stand shall be carried out in such a way that no nuisance will be caused to the event as such or to neighbouring stands. In cases to the contrary, Expat Expo shall be authorised to exclude the exhibitor from the event. Exhibitors will not be permitted to commence dismantling your stands, or remove materials from the stands area, until after the event has closed and all visitors have left the event as transportation of stands and materials through crowded areas may constitute a health and safety hazard. In the event of exclusion, Expat Expo will not refund any payments. All exhibition items must be removed from the exhibition area after the closing of the exhibition on the date and time specified by Expat Expo. If the exhibitor fails to remove the items by the specified time and date, Expat Expo is entitled to remove the items at the exhibitor’s own risk and cost. Exhibitors wishing to host extra activities and/or performances in their stand area must obtain prior approval from Expat Expo before the event start date.
Fire safety regulations: Exhibitors are responsible for knowledge of and adherence to all fire and safety codes, and must follow the guidance given by any representative of the event venue. All signs and equipment must conform to Swiss standards.
Liability and limitation of liability: Expat Expo is only liable for damage or loss to the exhibitor if the damage or loss is caused by fault or negligence by Expat Expo. Expat Expo are not responsible for the exhibitor’s indirect losses, including but not limited to loss of profits, loss of goodwill, loss of profits, etc. The exhibitor is liable for any damage including loss of or damage to goods caused either by himself or by any of his assistants to the exhibition venue. The exhibitor is also liable for any other damage arising from the exhibitor’s failure to supervise the space rented by him. Expat Expo is not responsible for the exhibited property.
Insurance: Expat Expo will bear no insurance risk on behalf of the exhibitor. The exhibitor is explicitly urged to make use of his own possibilities of insurance. Expat Expo assumes that exhibitors are adequately insured. Further, exhibitors are encouraged to make security arrangements for sensitive or valuable items. Expat Expo will bear no responsibility for the property of exhibitors.
Visitors and staff: Admission to the event will only be available to registered visitors and staff. Expat Expo shall not be liable to any visitor for damages he may have suffered due to the behavior of an exhibitor or staff employed by an exhibitor. In particular, the exhibitor and his staff cannot be considered as vicarious agents of Expat Expo.
Photographs, videos and sound recordings: Expat Expo reserves the right to take photographs, videos and sound recordings of the event and to use them on the Expat Expo website or for its own advertising purposes. If you do not agree to this, please inform us in writing in advance of the event.
Amendment of terms and conditions: Expat Expo reserves the right to amend these terms and conditions at any time. All amendments shall be binding on the exhibitor with the provision that the exhibitor is advised of any such amendment. Any matters not specifically covered herein are subject to decision by Expat Expo.
Intellectual property rights: Expat Expo maintains all intellectual property and marketing rights regarding the exhibition, including websites, logos, company names etc. No other person or entity than Expat Expo is legally allowed to make commercial use hereof, unless consent is given by Expat Expo.
Data protection: All data regarding natural persons are processed in accordance with our Privacy Policy. The Privacy Policy can be found here. www.expat-expo.com/privacy-policy.
Severability: If one or more provisions of these Terms and Conditions are found invalid this shall not affect the rest of the provisions’ validity.
Entire agreement and discrepancies: The Terms and Conditions and any document referred to in these conduct the entire agreement between the exhibitor and Expat Expo. The Terms and Conditions prevails in case of any discrepancies between these and other agreements between the Parties. The Terms and Conditions can be found on www.expat-expo.com/terms-conditions.
Governing law and jurisdiction: The Terms and Conditions are subject to Swiss law. Any dispute arising in connection with The Terms and Conditions, including disputes concerning the Terms and Conditions’ existence or validity shall be settled by the courts in Switzerland.
