Exhibitor Information - Geneva

Event Date & Time
Expat Expo is open to the public from 11:00  – 18:00 on 4th October 2025 (Saturday)  at the Pavillon Sicli in Geneva
  • Setup:  from 8:00 AM to 10:30 AM on the event day
  • Exhibition Hours:  11:00 AM to 6:00 PM on 4th October 2025 (Saturday)
  • Breakdown: from 6:00 PM to 8:30 PM on the event day

– Please ensure your stand is ready by 10:30 AM
– No deliveries or set up is possible before the event day (4th October)
– Breakdown and stand dismantle is NOT ALLOWED before 6:00 PM. Exhibitors that start packing their stands before 6PM will be fined CHF100.

  • Use the unloading zone in front of the venue as per the image below. The address is Route des Acacias 45, 1227 Genève
  • There are limited unloading bays; once you have unloaded you must move your vehicle without delay, to allow others to unload too
  • You must put your company name on an A4 sheet of paper and leave it in the front window of your car while you are in the unloading zone
  • If you have large loads to carry, it is suggested to bring a trolley or similar.
  • This is the main entrance of the event, so no cars will be allowed on the loading bay after 10:30am.
  • The Loading area will be closed during the event hours, between 10:30AM and 6:00PM, only reopening for dismantle after the event finishes at 6PM.
  • You must move your car to the parking immediately after you have unloaded it
  • All parking options are paid and not included in your exhibitor package
  • The venue does not have parking available
  • Parking is available in the surrounding public parking lots and parking garages. We recommend the following parking option:
*Note: only the parking spaces that have to be paid are public and can be used
  • You may not distribute flyers and other promotional material around the room or in the bathrooms. You must distribute them from your stand only.
  • Visitors sometimes try to distribute promotional material. This is not permitted. If you see a visitor distributing material please notify a member of our staff as soon as possible or inform the visitor that it is not permitted.
  • The Expo closes at 6 PM, PLEASE DO NOT PACK-UP EARLY, which would be a breach of your exhibitor agreement and health and safety regulations (and looks bad to visitors). Exhibitors that start packing their stands before 6PM will be fined CHF100.
  • Stands sizes are:
    • Regular Stand – 4 sqm (2m wide x 2m deep)
    • Double Stand – 8 sqm (4m wide x 2m deep)
    • XL Stand – 9 sqm (3m wide x 3m deep)
  • Your stand is “space only” and does NOT have with any furniture, decorations, etc included
  • You have to bring your own stand furniture and decorations. No stand furniture will be available to be order on site on the event day
  • Your stand space will be marked with floor tape. No extra space is allowed to be used outside this area
  • Kindly note that if you have any activities happening at your stand, they need to be INSIDE your stand area to avoid congestion and allow the visitors passage on the hallways
  • There are no back walls, you will either have an open back area, or be back to back with another stand
  • Electricity can be requested at an extra cost (latest 2 weeks before the event)
  • At a minimum, we strongly suggest you bring a table, tablecloth and decorations for your stand. We do not provide free tables, tablecloths and stand decoration. We further encourage you to design an attractive and engaging presentation – remember; the better your engagement, the better your result will be from your attendance
  • Balloon decorations are allowed on your stand, however you are not allowed to inflate them with Helium INSIDE the venue due to health & safety regulations. Please bring them already inflated or use the outdoors Loading Zone to inflate them
  • Your stand is “space only” and does NOT have any furniture included. Any furniture, decorations, etc for your stands need to be brought by you on the event day.
  • If you need to rent furniture and decoration for your stand, we suggest the local suppliers below:
  • Exhibitor stand dismantle can only start AFTER all Expo Visitors have left, at 6PM as per your exhibitor agreement.
  • The Loading area will NOT be accessible before this time
  • Exhibitors that start packing their stands before 6PM will be fined CHF100.
  • All materials, furniture, decorations, etc used on exhibitor stands need to be removed on the event day. Later pick up / collections are not allowed by the venue.

Electricity can be provided at a cost and it must be ordered via our Exhibitor Order Form online before the event date (https://events.expat-expo.com/geneva2025-exhibit/sign-in)

  • Wi-Fi is managed by the event venue and is free in the building. Expat-Expo GmbH does not offer support or guarantee a connection. If you need an exclusive Wi-Fi connection, please let us know and we will connect you directly with the venue to hire this service separately at your own cost.
  • Food & Drink exhibitors are allowed to sell cold and hot food on their stands, both for consumption on site and for later consumption.
  • Cooking inside the venue is not allowed, only warming (with no flames) is allowed in order to not trigger the fire alarms.
  • Visitors normally only carry credit cards, so make sure you have a credit card terminal to accept this type of payment.
  • Did you forget to add electricity to your stand? Have you decided to be a Sponsor after you entered your Exhibitor Order? Not a problem, you can go back to your order and modify your selections via this link: https://events.expat-expo.com/geneva2025-exhibit/sign-in
  • Changes to your registration are not final until you have reached the Confirmation page, so make sure you continue through all the registration steps again when modifying your order.
  • Your invoice will be updated to reflect your changes and you can download it from the Confirmation page
  • You can modify your order up to 2 weeks before the event (until 19th September). After that date the form will be locked for changes.
  • The Pavillon Sicli is wheelchair accessible.

Kindly note that animals are NOT allowed inside the venue, with the exception of assistance dogs, upon presentation of proof of official registration as a service animal. This is a rule from the venue we are renting and it can’t be changed by Expat Expo.

  • Don’t just sit there – engage your audience!
  • Smile, be happy, ask open questions (How, Who, What, When, Where, Why)
  • What would make them laugh, smile, or ask more?
  • Set up your stand to be visually appealing and you’re half way there
  • What about a prize draw, free giveaway, or competition?
  • What is it about your company that you want to demonstrate? Use that as your focus for engagement
  • Think long-term. You may make sales on the day, but the real value typically comes long-term, from additional sales, referrals, and brand exposure. Make sure you take names, numbers, add to your email subscribers etc.
