Expat Expo

Exhibitor Information - Geneva

Expat Expo is open to the public from 11:00  – 18:00 on 26th September 2026 (Saturday)  at the Ramada Encore Conference Center in Geneva.

  • Setup:  from 8:00 AM to 10:30 AM on the event day
  • Exhibition Hours:  11:00 AM to 6:00 PM on 26th September 2026 (Saturday)
  • Breakdown: from 6:00 PM to 8:30 PM on the event day

– Please ensure your stand is ready by 10:30 AM
– No deliveries or set up is possible before the event day (26th September)
– Breakdown and stand dismantle is NOT ALLOWED before 6:00 PM. Exhibitors that start packing their stands before 6PM will be fined CHF100.

  • Entrance to the venue is only allowed upon presentation of a valid ticket.
  • Every person working at an exhibition stand needs to register for a ticket (including the main booker of the stand if they will attend the event too).
  • The registration is made via our website: https://events.expat-expo.com/geneva2026
  • Exhibitor badges will be printed with the Company name only. Each company will have the number of badges printed accordingly to their stand size limit below.
  • Exhibitor Stand staff numbers are limited as per below:
    • Regular stand: maximum 2 exhibitor staff
    • Double stand: maximum 4 exhibitor staff
    • XL stand: maximum 5 exhibitor staff
  • If you plan to have rotating staff on your stand, please make sure you inform us in advance and that those maximum numbers are respected at all times.
  • Only stand staff working the full hours of the event (from 8:30am to 6:00pm) should register as “I’m working on a stand of a registered exhibitor”. Any staff working on rotation should register as “Visitor”.
  • Please find here the full directions on how to reach the Loading & Unloading area of the venue.
  • You may unload your equipment directly in front of the freight elevator, located at the rear of the building as per the map below. It provides direct access to the 3rd floor of the Event Center
  • Please note that access is limited by the dimensions of the elevator door:
    • Height: 2.00 m
    • Width: 90 cm
  • There are limited unloading bays; once you have unloaded you must move your vehicle without delay, to allow others to unload too
  • If you have large loads to carry, it is suggested to bring a trolley or similar
  • Underground parking is available at La Praille Commercial Center
  • Follow the signs for “Ramada Encore” that is located on the 2nd floor in the parking (this will take you closer to the Conference Center entrance)
  • Please note the vehicle height restrictions at the La Praille parking:
    • Level -1 : maximum height 2.20 m
    • Level -2 : maximum height 1.95 m
  • Our exhibitors can benefit from a preferential parking rate at La Praille shopping centre parking of CHF 10 for the full Expo day. This offer is only valid if requested via the exhibitor order form in advance.
  • Parking ticket payment made directly at the parking payment machines will NOT benefit from this discounted rate.
  • You may not distribute flyers and other promotional material around the room or in the bathrooms. You must distribute them from your stand only.
  • Visitors sometimes try to distribute promotional material. This is not permitted. If you see a visitor distributing material please notify a member of our staff as soon as possible or inform the visitor that it is not permitted.
  • The Expo closes at 6 PM, PLEASE DO NOT PACK-UP EARLY, which would be a breach of your exhibitor agreement and health and safety regulations (and looks bad to visitors). Exhibitors that start packing their stands before 6PM will be fined CHF100.
  • Stands sizes are:
    • Regular Stand – 4 sqm (2m wide x 2m deep)
    • Double Stand – 8 sqm (4m wide x 2m deep)
    • XL Stand – 9 sqm (3m wide x 3m deep)
  • Your stand is “space only” and does NOT have any furniture, decorations, wall or partitions included.
  • You have to bring your own stand furniture or order them on your Exhibitor Order in advance (latest 3 weeks before the event). No stand furniture will be available to be ordered on site on the event day
  • Your stand space will be marked with floor tape. No extra space is allowed to be used outside this area
  • Kindly note that if you have any activities happening at your stand, they need to be INSIDE your stand area to avoid congestion and allow the visitors passage on the hallways
  • There are no back walls, you will either have an open back area, or be back to back with another stand
  • Electricity can be requested at an extra cost (latest 3 weeks before the event)
  • At a minimum, we strongly suggest you bring a table, tablecloth and decorations for your stand. We do not provide free tables, tablecloths and stand decoration. We further encourage you to design an attractive and engaging presentation – remember; the better your engagement, the better your result will be from your attendance
  • Balloon decorations are allowed on your stand, however you are not allowed to inflate them with Helium INSIDE the venue due to health & safety regulations. Please bring them already inflated.
  • Exhibitor Stand staff numbers are limited as per below:
    • Regular stand: maximum 2 exhibitor staff
    • Double stand: maximum 4 exhibitor staff
    • XL stand: maximum 5 exhibitor staff
  • If you plan to have rotating staff on your stand, please make sure you inform us in advance and that those maximum numbers are respected at all times.
  • Exhibitors of all categories are NOT allowed to offer free drinks (coffee, teas, wine, etc) on their stands. They are allowed to offer only free very small samples of food items like chocolates, biscuits, cookies, etc on their stands for free.
  • Food & Drink exhibitors can sell their products and offer very small tastings of it, but only for items for later consumption (packaged and sealed and NOT for consumption inside the venue).
  • The venue has an exclusive on-site caterer and a cash bar at the event hall, and it is not allowed to consume food or drinks not purchased from their caterer directly in the venue.
  • Your stand is “space only” and does NOT have any furniture included. 
  • All stand furniture need to be brought by you or be ordered and paid in advance via the Exhibitor Form (latest 3 weeks before the event). 
  • No stand furniture will be available to be order on site on the event day.
  • Exhibitor stand dismantle can only start AFTER all Expo Visitors have left, at 6PM as per your exhibitor agreement.
  • The Loading area will NOT be accessible before this time
  • Exhibitors that start packing their stands before 6PM will be fined CHF100.
  • All materials, furniture, decorations, etc used on exhibitor stands need to be removed on the event day. Later pick up / collections are not allowed by the venue.

Electricity can be provided at a cost and it must be ordered via our Exhibitor Order Form online before the event date (https://events.expat-expo.com/geneva2026-exhibit/sign-in)

  • Wi-Fi is managed by the event venue and is free in the building. Expat-Expo GmbH does not offer support or guarantee a connection. If you need an exclusive Wi-Fi connection, please let us know and we will connect you directly with the venue to hire this service separately at your own cost.
  • Food & Drink exhibitors are not allowed to sell cold and hot food on their stands for consumption on site, only products for later consumption.
  • Exhibitors can sell their products and offer very small tastings, but only for items for later consumption (not inside the venue). 
  • The venue has an exclusive on-site caterer, and it is not allowed to consume food or drinks not purchased from their caterer directly in the venue. 
  • Exhibitors of all categories are not allowed to offer free drinks (coffee, teas, wine, etc) on their stands.
  • Did you forget to add tables and chairs to your stand? Do you now need electricity? Have you decided to be a Sponsor after you entered your Exhibitor Order? Not a problem, you can go back to your order and modify your selections at this link: https://events.expat-expo.com/geneva2026-exhibit/sign-in
  • Changes to your registration are not final until you have reached the Confirmation page, so make sure you continue through all the registration steps again when modifying your order.
  • Your invoice will be updated to reflect your changes and you can download it from the Confirmation page
  • You can modify your order up to 3 weeks before the event. After that date the form will be locked for changes.
  • The Ramada Encore Conference Center is wheelchair accessible.

Kindly note that animals are NOT allowed inside the venue, with the exception of assistance dogs, upon presentation of proof of official registration as a service animal. This is a rule from the venue we are renting and it can’t be changed by Expat Expo.
